RiskPulse: How Creditsafe Handles Personal Information in Company Reports

Written by Caroline Polio

Overview

Company reports provided by Creditsafe may include information about individuals connected to a company, such as managing directors, authorized signatories, or shareholders. This article explains where this information comes from, why it may appear in a report, and how it is handled.

Where does the company information come from?

Information on registered companies comes primarily from official, publicly accessible records. These include commercial and company registers, insolvency publications, and registers of defaulting debtors.

Official registers can include information such as:

  • Company details — company name, registered office and branches, managing directors and authorized signatories, capital details, legal agreements, and ownership and shareholder structures.

  • Financial filings — annual and consolidated financial statements, financial reports, and legally required public disclosures.

Creditsafe also uses the following sources:

  • External data providers — supplementary information such as contact details, adverse information, and insolvency records. This information is cross-checked against official registers to improve data quality.

  • Regional data partners — established information partners that supply business-relevant company information within their own countries.

  • Creditsafe’s own processes — data collection and validation processes that help keep company information accurate, current, and high quality.

Why might personal information appear in a report?

Some company information that is legally required to be public also identifies individuals. For example, a report may name a company’s managing directors or shareholders because that information is part of the official public record. As a result, personal information may appear in company reports from time to time.

How is personal information protected?

Creditsafe processes business information under data protection law (GDPR) on the basis of legitimate interest, for purposes such as helping businesses manage financial risk, prevent fraud, and understand who they are doing business with.

In addition:

  • Creditsafe does not process special categories of personal data, such as ethnic origin, health data, or political or religious views, and does not use them in credit scores.

  • Business information data is stored on servers in the UK and the EU.

Can personal information be corrected or removed?

Individuals have rights under data protection law, including the right to access, correct, or request deletion of their personal data.

If you need to request a correction or removal of personal information in a Creditsafe report, contact RapidRatings Client Services. We will coordinate the request with Creditsafe on your behalf.

If the information comes from a public register, it must be corrected or removed at the register itself. Creditsafe’s database updates automatically from these registers, so a change made only in Creditsafe would be overwritten by the register’s data.
