Step 3: Overview of the Outreach Process

Below is a brief overview of the Outreach process. Please note that this service is only available to clients who have subscribed to the program.

Stage 1: Pre-Outreach (up to 1 month)

  1. Establish your counterparty list with relevant contact information, including any internal relationship contacts.

  2. Gather the information needed to start the outreach.

  3. Refine your introduction letter to the counterparty, using our standard letter as a base.

💡 We offer a complimentary segmentation service (identifying public versus private companies) at the start of every relationship year — this can help with Step 1. Reach out to your Client Success Manager or Client Services team for more information.


Stage 2: Outreach (a few days - 2 months)

To initiate a request, follow our 2-step process:

  1. Send the introduction letter to each counterparty with [email protected] cc'd.

  2. In tandem, send the Excel spreadsheet with the relevant contact details to that same inbox.

Once submitted, here's what happens next:

  • Within 3 business days, the request will be imported into the FHR Exchange and assigned to an associate on our Member Services team.

  • The Member Services Associate will contact the counterparty directly and provide a link to either complete the registration process or access an existing account to submit information through our secure portal. The Member Services team will guide them through each step of the process.

  • We follow up with your counterparties at least every 10 business days.

  • If a counterparty remains unresponsive after six email messages and one phone call, we'll escalate the case back to the Relationship Manager at your company.

How can you track your request?

You can check on the status of your private company requests by navigating to Program Management > Network Outreach.


Stage 3: Production (4 business days)

  1. Our Data Analysis team reviews the submitted financial statements, performs Quality Assurance, and enters them directly into our secure database.

  2. RapidRatings produces FHR reports (along with our other products), uploads results to your portfolios, and notifies your users

📌 Please note that the time required to complete an FHR Report is dependent on the counterparty providing all required data in full.

If there are delays in the counterparty's submission or if the data provided is incomplete, it may extend the timeline for report completion.


Stage 4: Refresh (Ongoing)

An update to private company ratings is called a refresh and counts towards your Outreach allotment.

To request one, simply email [email protected] — since we've already worked with this counterparty on your behalf, the 2-step process is not required.

We also offer a complimentary refresh service:

  • Upon request, we'll provide you with a list of outdated ratings and reach out to collect new data on your behalf — no additional effort needed on your end, unless you specify otherwise.

📌 If we have not successfully rated a counterparty in the past, we'll ask you to re-initiate via the 2-step process to ensure RapidRatings is properly re-introduced to a previously uncooperative counterparty.
