Financial Statement Submission Tool

This article explains how to use the Financial Statement Submission Tool to submit company financial statements securely for rating. You’ll learn how to search, view, create, and manage requests.

The Financial Statement Submission Tool allows clients to submit company financial statements securely when they already have access to the financial statements required for RapidRatings to complete a rating.

Rather than submitting financials via email, users can upload them through the FHR Exchange by selecting "Financial Statement Submission" under the "Program Management" menu.

Accessing the Tool

When you open the tool, you’ll see a requests queue screen (Fig. 1), which defaults to Current Open Requests.

From this screen, users can:

  • Create a new request

  • View existing and completed requests

  • Search for a specific request by name

  • Download a list of requests

  • Adjust how this view is sorted

Each request record displays key details, including: Request ID, Request Name, Vendor Code, Status, Requested By, and Date.

Searching for a Request

Simple Search

To complete a simple search, enter a name into the search field and click the Search button. The results will then be displayed (see Fig 2).

Advanced Search

To complete a more advanced search, select the “More Filters” dropdown located under the Search button. Various filters can then be applied as required (see Fig 3). The options displayed depend on which of the two tabs has been selected (Current Requests or Completed Rating Requests)

Viewing and Managing Results

  • Use the Page Size dropdown, located under the search button, to adjust the number of results shown (25, 50, or 100).

  • If more than 100 results exist, use the Next button to navigate between pages.

  • Click Download, next to the Page Size dropdown, to export results as a CSV file (Fig 4).

  • To reorder data, click the Sort Arrows beside the relevant column.

  • Data can be sorted by Request ID, Request Name, Vendor Code, Requested By, and Date (Fig 5).

Viewing a Request

To view details of a specific request, click the relevant Request ID listed in the first column. These IDs are displayed in blue, confirming an available link to open the request details screen (see Fig 6).

The Request Details screen displays all request information and any available required actions. From here, you can:

  • Download files using the Download Files button.

  • Add comments using the Comments button, providing a text field where a new comment can be entered.

  • View available actions and their current status. If available actions are required, these will be displayed on screen with the applicable status (see Fig 7).

To return to the request queue, click “Back to Queue”.

To view a completed request, select the “Completed Ratings Request” tab. Once the relevant request has been opened, select the company link to view the FHR Report (see Fig 8).

Creating a New Request

To create a new request:

  1. Click the “New Request” button located in the top left of the screen.

  2. The “Create a Rating Request” screen displays (see Figs 9 and 10).

Enter a name for the request in the "Request Name" field, typically the name of the company to rate.

If you are creating a refresh request and you are sending financials for a company, you have previously rated, you must first search for the company via the "For Company" search field. After 3 characters have been input, a live search will begin, and the relevant company can be selected (see Fig 11).

If you are creating a new request, the "For Company" field can be left blank. If previous requests exist for this company, they will display on screen with links to the specific request.

In the Unique Vendor Code field, enter a unique ID to associate with the company to rate. This optional ID can be unique to your organization and is not required to produce a rating. This optional field can be left blank.

Add Financial Statements via the “Choose Files” button, allowing the user to attach relevant PDF file(s).

Any additional comments can be added via the “Comment” text field. Additional Recipients can also be selected via the “Choose User” dropdown menu. Any additional recipients that are added to a request will receive an email notification whenever one is sent by RapidRatings (see Figs 14 and 15).

Once the above steps are complete, submit the request via the “Submit” button or cancel it via the “Cancel Request” button. After the request has been submitted, the Requests Queue screen displays with the logged request in the summary table.


Responding to Requests for More Information

If the RapidRatings Data Analysis Team adds a comment or requests additional information, the requestor (and any additional recipients) will receive an email notification with a direct link to the open request, where they can view the latest comment and any required actions (see Figs 12 and 13).

When a request has been completed, an email is sent to notify the requestor along with any additional recipients added to the request during creation. The email contains a link to the completed rating (see Figs 14 and 15).
